What is the deadline for registration?

Online - available until Monday, May 10
Mail - make sure your registration is postmarked by Thursday, May 6
Fax - no later than Wednesday, May 12
Walk-in - you CAN attend as a walk-in, but there are some disadvantages. See below for details.
Hotel Rooms - Rotary discount room rates through April 22, subject to space availability. (Click here for details.)

What if I just show up.... Can I still get in?

Yes..... BUT...... you'll have to wait in line, your meals will cost up to $33 more (per person), your meal choices will be limited, your badge will be hand-written, and you won't get the free tote bag. (And of course, overnight accommodations may or may not be available.) So..... Advance Registration is really the better way to go.

What is the deadline for a discount?

If you're planning to attend all 3 days, the Package Deal can save you up to $63 per person!!! Package Deal registration deadline is April 15. "A La Carte" Meal prices will increase on May 1. Even if you don't want the package deal, you can still save up to $33 per person on A La Carte meals. To get the discount meal price, register and submit your payment by April 30.

What is the Package Deal?

The hotel is allowing significant discounts for double-occupancy rooms booked for both Friday and Saturday night, assuming attendees will also need all meals. We are passing the discounts along to you. The PACKAGE DEAL includes Friday & Saturday Night Hotel Room, plus All 6 Meals, for just $225 per person! You and your spouse/guest will SAVE $126! Deadline is April 15.

I am attending as a single. Can I still get the Package Deal?

Yes.... if you share a room with another person who is paying for the package deal. You should both indicate your roommate's name on your registration form. Call Registrar Linda Largey at 978-549-9630 for more details.

How do I book a room?

If you are NOT registering for the package deal, but you DO want to stay overnight, you will need to call the hotel to book your room.
To reserve an "A-La-Carte" room, please call the Boxborough Holiday Inn at (978) 263-8701 by April 22.

If you're registering for the package deal, a room will be automatically reserved for you by Rotary. In this case, please DO NOT call the hotel, or you will risk double-booking. All rooms are non-smoking. Rooms included in the package deal must be double-occupancy.

What does a room cost per night?

Blocks of rooms (Single or Double) are being held for Rotary at the special rate of $95 per night. The special rate applies through April 22, and is subject to space availability.

How should my club arrange for a Hospitality Room?

If your club will be hosting a Hospitality Room, please contact Dave Moquin at 978-537-9214 as soon as possible. (email: drmoquin@yahoo.com) Dave will confirm your hospitality room number and provide more information about this year's hospitality program.

What payment methods are accepted?

Check (mail by Thursday, May 6)
Money Order (mail by Thursday, May 6)
Credit Card - submit online or phone the Registrar with your CC info by Monday, May 10
Cash, Check or Credit Card accepted at the door

What if my club is paying for me?

Since all registrations MUST BE PREPAID, it is strongly recommended that you submit your own payment and then have your club reimburse you. This will simplify the registration process.

Alternatively, your club can forward payment to the registrar on your behalf, in advance. Your registration will not be processed until payment is received. Payment must be received by the appropriate deadline for any discounts to apply.

CLUBS SHOULD CONTACT THE REGISTRAR for more details. It is to your advantage to finalize arrangements BEFORE APRIL 30.

I'm a New Rotarian

New Rotarians are strongly encouraged to attend the District Conference! In fact, District 7910 will reimburse all New Rotarians for Friday lunch! But…YOU MUST REGISTER IN ADVANCE. Reimbursement will be made in person at the event. (If you register for Friday lunch and do not attend, reimbursement will be forfeited.)

My spouse/partner is a Rotarian

Each Rotarian must submit their OWN form, because of the way our database tracks and organizes information. If you are registering for the Package Deal, simply indicate your spouse/partner's name in the Package Deal section.

Can I bring my kids?

Well-behaved children are welcome to attend all conference functions.

If your children are not having the conference meals, there is no need to register them.

Children who ARE having meals should be registered as GUESTS. Your first guest (most likely your spouse or partner) should be listed on the same form as you. Your main registration (Rotarian and spouse/guest) can be submitted online. Subsequent forms need to be submitted by fax or mail. Use the PDF Registration Form. Submit a separate form for each child or additional guest. Put the Rotarian's First and Last name on the child/guest's form, but skip over all other Rotarian information lines and just fill in the child/guest info and their meal choices. How do I register additional non-Rotarian guests?

The registration form has room for 1 guest. You must submit a separate form for each additional guest. Use the PDF Registration Form and submit your registration by Mail or Fax. Put the Rotarian's First and Last name on the guest's form, but skip over all other Rotarian information lines and just fill in the child/guest info and their meal choices.
